Vehicle Policy
University Facilities provides vehicles to other campus
departments on a full recharge basis. A limited number of University owned
vehicles are available for use by University departments at a cost of
$10.00 per day and $ .30 per mile. These vehicles are available on a first
come, first served basis. Drivers of University vehicles must be employed
by the University, must be at least 21 years of age and must have a valid
drivers license. Call Dale Heiser at the rental office (716-645-3126 ext

In addition, the
University has contracted with a commercial rental car company to provide
vehicles for University business. The cost varies depending on the size
of the vehicle rented. The following information pertains to these commercial
rentals:

- Rental costs are
charged on a daily basis and are based on a 24 hour day. Each 24 hour
period or portion is considered one day. Minimum charge is one day.
- Rentals must be charged to a valid University account
(i.e., State, IFR, Research, UBF or Student Association).
- All rental charges include insurance and unlimited
mileage.
- Vehicles are provided with a full tank of fuel and
must be returned full.
- Drivers must be affiliated with the University (Faculty,
Staff or Student).
- Drivers must have a valid drivers license legal in
New York State.
- Drivers must be at least 21 years of age.
- More than one driver is allowed provided they meet
the above requirements.
- Approved Motor Vehicle Request (MVR) form must be at
rental office 24 hours prior to scheduled pick up time, 48 hours for
Student Association (SA) rentals. Reservations will not be held if form
is not received. These forms are available by calling the rental office
at 645-3126. SA rentals require the signature of Andrea Costantino,
Barbara Ricotta or Dennis Black on the MVR. SA rentals also require
an Auto Rental Authorization signed by the Treasurer of the SA (available
at SA office).
- The individual whose name appears on the MVR must
be the one to accept delivery of the vehicle. A new signed MVR must
be completed if another person picks up the vehicle.
- Cancellations must be made 24 hours in advance of scheduled
pick up time.
Cancellations with less than 24 hours notice will be billed the minimum
charge.
- Vehicles can be picked up on the North Campus at the
Helm Building during regular business hours. For other pick up times,
arrangements can be made to pick up a vehicle at various locations of
the commercial provider.
- State policy requires the use of a compact sedan whenever
possible. Justification may be required by the State Comptroller's office
when a larger vehicle is rented.
- Commercial rentals are subject to regulations on the
rental contract.
